Manage the flow of email and phone calls to ensure they end up in front of the right person. The role has a strong focus on customer service and keeping clients satisfied and well informed. Also to provide key administration support when needed.

This is a night based position, working a regular shift pattern to support the IT and Operations teams. Exact hours will be agreed by 1st November as there are a number of potential shift patterns available.

The role is a Fixed Term Contract. Training will be provided on all our systems with a view to developing the successful applicant following the close of the season.

Key Responsibilities

Deal timely and responsively with all client and internal queries relating to any particular night’s service.
Monitor and manage emails / phone calls and allocate them to the relevant region / person.
Oversee and maintain a nightly record of all activities, information of issues for effective hand over and service information
Maintain a high quality, polite and friendly service at all times, on all phone calls into and out of the office.
Maintain the highest level of accuracy on all data in all applications; this may involve liaising with the relevant Account Manager or other colleagues depending on the information to be audited.
Ensure the efficient delivery of services
Manage arising issues to ensure the successful completion and accurate capture of service data of all jobs
Perform other duties as required by the Company.

Experience/ Qualifications

• Must have at least 1-2 years relevant experience in an administration role.
• Must have exemplary organisational skills, strong administration skills and be responsive to customers’ requests.
• Ability to multi task, deliver results and find solutions in an ever changing environment.
• Must have good IT skills, with strong knowledge of MS Office (basic Word and Excel).

• An excellent communicator, good team player; Must be articulate, have clarity in all written materials.

• Flexible with and committed to work time. Able to undertake regular night work on a shift pattern rota.
• Ability to work independently and under pressure in a fast moving environment, dealing with staff at all levels in the organisation through to senior company executives.
